We are looking for an individual to manage core parts of IFSA study abroad programs in Lima including: leading the planning and supporting the delivery of co- and extracurricular activities, orientation, and other events; coordinating enrolment and student support services with local university partners; supporting and ensuring effective academic administration; and engaging with students to enhance their program experience and wellbeing . In this position, you will work closely with colleagues from our sites in the Latin America & Caribbean , the Global Health & S afety Team , Program O perations, Academic Programs and Student Engagement teams.

In this position, your responsibilities would include:

Leadership

  • Thought leader for the strategic direction and execution of our IFSA-Peru in close partnership with Academic Programs with an overall goal to grow enrollment and offerings in alignment with student and partner needs.
  • Oversee the recruitment, hiring and training of new team members in consultation with Academic Programs Leadership and HR
  • Design and convene regular staff meetings/retreats to facilitate communication, exchange ideas, implement IFSA policy, conduct training, and facilitate teambuilding.
  • Manage the Lima office and ensure deadlines and operational objectives are met
  • Help maintain the highest standards of academic and operational quality
  • Contribute to the development of best practices and standard operating procedures across the organization, and help to foster a culture of continuous improvement

Program Operations

  • Plan and deliver pre-arrival, welcome and reentry orientations for students
  • Support, coordinate and execute excursions, co-curricular activities, roadmap for learning delivery and other events as needed
  • Conduct appreciative advising with students, including roadmap consultations, and regularly meet with students to assess their experiences and help resolve problems
  • Support academic management of programs, including the course registration process, appreciative advising, and student roadmap consultations
  • Research and define program objectives , course content and delivery schedule
  • Manage the program launch timeline and content development plan
  • Recruit, onboard and train new instructors
  • Schedule and oversee the efficient delivery of IFSA classes and support instructors on course delivery
  • Validate course content and make program adjustments based on student feedback
  • Develop and deliver engaging student programming in line with IFSA’s commitments
  • Manage data associated with programs and program operations to ensure accuracy and integrity
  • Contribute to emergency response and student incident management based on established protocols, and participate in after-hours emergency phone management
  • Efficient handing of IFSA crisis management tools, including leading in times of crisis, and assisting student in case of incidents ; r esponsible for emergency response and student incident management ; participate in after-hours emergency phone response
  • Follow all policies and procedures for training, incident reporting, and student contracts and waivers
  • Regularly review the IFSA housing portfolio to ensure it meets health and safety criteria
  • Responsible for the continuous improvement of all operating processes and documenting standard operation procedures (SOPs)
  • Other duties and projects, as assigned, which may include: opportunities to contribute to other site and department operations via remote work; opportunities to support organization-wide initiatives

Program Finances and Legal

  • Responsible for monthly reports to IFSA Finance department for expenditures, bank statements and petty cash
  • Understand legal guidelines and liability issues for Peru programs
  • Serve as liaison with local legal representative and accountant firm
  • Support the preparation of annual budgets, forecasts and other financial reports by ensuring accurate cost estimates and expense tracking

Program Development

  • Development, operation, and delivery of new programs with a special emphasis on short term summer programs, JTerm and Custom / Collaborative programs.
  • Responsible for the delivery of academic and experiential learning programs and co/extracurricular activities that consistently meet or exceed the expectations of students and sending institutions
  • Develop, align and manage resources to support new programs
  • Responsible for launching student evaluations (program/classes/housing/excursions), collecting data and designing action plan with the goal of continual improvement semester/semester .
  • Primary point of accountability for meeting goals on student response rates for evaluations/assessments.
  • Ultimate point of accountability in terms of overseeing student’s conduct and academic trajectory.

Partnership Development

  • Lead and support ongoing coordination with university partners in Lima, related to enrolment, housing, student support, transcripts, and other issues as needed
  • Cultivate positive working relationships with both sending and host university partners to ensure effective collaboration and support growth and development goals
  • Lead, support and develop relationships with local partners in support of co- and extracurricular offering, orientations, and other events and activities

Requirements, Work Experience and Education

  • Minimum of eight years of progressively responsible work experience; desired industries include study abroad, higher education, hospitality, tourism, non-profit or any social sciences and humanities related areas
  • Strong leadership, organizational and management skills with at least five years of work experience in Peru
  • Passion for working with multiple diverse stakeholders and evidence of building positive external working relationships .
  • Data-driven approach to decision making, accuracy and attention to detail
  • An understanding of health & safety training protocols and procedures ; c risis management experience to lead and assist staff during student incidents ; ability to respond calmly and professionally to emergency situations
  • Contagious enthusiasm for IFSA’s mission, vision and commitments.
  • Success in engaging with and supporting students with diverse lived experiences including students of color, students with mental and physical disabilities, first-generation college students, and LGBTQIA+ students.
  • Evidence of exceptional verbal, superior interpersonal, presentation, and writing skills, with a demonstrated ability to communicate complex concepts to audiences of various knowledge levels and backgrounds.
  • Flexibility and ability to adapt and thrive in ambiguous and changing situations and to shift focus and reprioritize work as needed .
  • Deep knowledge of Microsoft Office systems including PowerPoint, Word, Outlook required ; a dvanced skills in working with Excel including design of pivot tables
  • Knowledge of CRMs, specifically Salesforce desired
  • General knowledge of university system and student life in the US and Latin America
  • The legal right to work in Peru .

Physical and Work Environment

  • In-person work at IFSA-Lima office in PUPC campus is required
  • Working on a computer, placing phone/video calls, updating systems and documents
  • Required to navigate and move around the city and other locations for excursions, potentially outdoors in heat or cold
  • Regular travel through the city of Lima, required with occasional travel to rural areas of the city and other Latin American sites
  • Occasional physical activities such as arranging chairs/tables in conference room settings
  • Ability to attend occasional meetings outside of local business hours, due to the global nature of our operations
