About the role Reporting to the Cuzco Operations Manager, the Operations Specialist serves the needs of G Adventures customers internal and external. Duties will include working with the Operations Team and the Reservations team using efficient processes and actioning any foreseeable problems. As this role is oriented towards the Customer Service area, you will most importantly need to communicate clearly and efficiently with travelers. What youll be doing: Organize all travelers briefing at the G Adventures office (or at hotels when required) and ensure all necessary information is provided to the travelers. Manage an efficient rental process of equipment during the Welcome briefing and ensure payment is taken accordingly. Ensure all reports are appropriately and timely shared with the Warehouse Team and the Finance Team. Organize all the pre: tour information needed by the travelers: Welcome Letters/Welcome Packages, checking Good to Go, boarding passes, reconfirmation of services in the case they can not be performed by the CEO or there is no CEO associated with the tour. Communicate effectively through the Trip Slack Channels any relevant information about each trip. Coordinate with the Regional Operations team regarding last minute changes, and keep the CEOs and providers informed. Monitoring of incident reports as they come in, communicating with the Reservation and CEO Manager as necessary to determine if follow up is needed, and communicating with appropriate individuals to assist in issue resolution. Assist travelers who need assistance (sickness, issues with luggage, flights.) by keeping regular communication with them and reporting back to the team on the appropriate Slack channels about their situations. Create and organize small events for our travelers according to local festivities. Assist in ensuring the G Adventures brand and other client brands are properly represented throughout the region. Administrative support for the Global Sales and Base Camp Operations teams for information: gathering and logistics related to travelers before arrivals. Through a deep knowledge of the region, assist the reservation Team with solutions when new alternatives are needed to ensure a trip can run according to its itinerary. Support the Customer Solutions team for on: tour and post: tour issues, investigating, collaborating and communicating with the stakeholders to manage situations as effectively as possible and bring them to resolution.
