Information Technology (IT) Project Management Office (PMO) is guided by IT Project Management Methodology (PMM).
The role of the Project Analyst is to provide assistance to PMO team/Project Manager(s)/Programme Manager(s) (all classified as PMs) mainly on the (i) Prompt and Regular Tracking/Reporting and (ii) Completeness of Documentation on the project/programme and all related project/programme activities.
It also covers (iii) any additional/ad hoc administrative and coordination tasks assigned by Head of IT PMO and Chief Information Officer (CIO).
Accountabilities of the Project Analyst are to ensure tasks assigned by PMs are executed timely, completed as planned,
prompt escalation on potential issue/delay and complied with SLM guidelines and policies. Delivery of the project milestones are the PMs accountability and responsibility.
The Project Analyst role is only applicable for IT Projects under the management of IT Division

Coordination, Tracking and Reporting Tasks:
WHY
Project/Programme is temporary organization that execute the accumulated activities from different stakeholders and varies departments to deliver the agreed objective(s) and milestone(s).
Prompt and frequent communication and reporting are required to ensure the project deliverables are running as planned and prompt escalation with mitigation plan on issue/risk arises.
WHAT:
Project Approval Paper Preparation and Submission
Project Meetings Coordination for Work Stream and Management forums
Weekly Reports
Monthly Reports
Ad Hoc/Highlight Reports
Issue Reports
Issue Register
Exception Reports
Change Control Requests
HOW:
Organise workshop and meetings (includes logistics and communication) for requirements, issues, weekly,
monthly and ad hoc on necessary basis to ensure the project progress and communication are managed and informed to all stakeholders.
Documents and follow up on important actions and decisions from meetings.
Updates and administer the project/program management plan as required.
Manages coordination and reports preparation for PMs includesregularmeetings and ad hoc reporting requests.
Tracks and monitor progress and reporting of the change requests for the project.
Prepares Utilisation Requests and coordinate for management approval
Routine progress updates and immediate issue escalation to PMs as per the agreed timeframe e.g. biweekly, weekly or ad hoc basis.

WHY:
SLM IT PMO is governed by SLF/SLM IT PMM standard documentations and practices.
It is important to ensure projects/programmes are executed with the consistent approach on the planning, executing, monitoring and reporting.
WHAT:
Completeness of the project documentation as per IT PMM Checklist (Appendix F and G)
Adequate authority is obtained for the project approval
Assists PMs to ensure project delivery as per IT PMM Guideline practices
Assists PMs in Issues, Risks, Quality and Time Management
Assists PMs in project handover to BAU in closing stage
HOW:
Builds repository for the project documentations and ensure obtain completeness of files, evidences and records for audit and future reference purposes.
Collects actuals data and forecasts to record for project filing as per the projects needs requested by PMs.
Assists with the compilation of approvals/reports/logs/registers in project repository.
Support PMs on quality management and control to ensure completeness of sign off is obtained.
Administer records/registers delegated by the PMs
Administer the receipt, identification, versions, storage and issue of all project deliverables
Maintain a record of all copies issued
Notify stakeholders on the changes of version or copies issued.
Ensure all projects Legal documents are completed with the authorized approvers as per the company policies. E.g. NDA, SLA, SOW etc.
